===PCT Records and Archives===
As of Dec 2016, we are only keeping the final versions of candidates' PCTs/signature forms - nothing else.
++**//This is all out of date as of Dec 2016//**
also see: [[ManagingInformation Managing Internal Information]]
Please note: candidate submissions not publicly-available on our website are NOT to be given out to anyone except at the request of the candidate who authored it, journalists, and academics. Acceptable parties wanting bulk data of PCT submissions may be [[APIandDataRequests granted access to our digital PCT Archives]]
**Physical Files:**
PCT research, biographies, PCTs (including duplicates and changes), mailing labels, and returned mail are saved in the archives. Files are kept in the office during the election cycle and boxed after the election. All boxes placed in the Archives must be labeled properly and added to the inventory (See: Public->Archives Files (barn)). Quality control lists are purged after the official election results have been processed. Official election results should be kept until Vote Totals are entered and checked.
PCT research (including final copies of the PCTs, coding, and defenses) should be saved together in one drawer/box.
PCT Admin/submitted bios and pcts materials (biographies, PCTs (including duplicates and changes), mailing labels, and returned mail) should be archived as follows:
Each State/Office has its own box. The front of that box should be a file for general correspondences, including drafts of intro and red card labels. Exception/courtesy/added candidates' general correspondences are saved in a separate box. All other materials for exception/courtesy/added candidates, including PCTs and bios, should be filed with all other candidates according to state/office (not treated as exception)- please note, this was not likely separated out in the 2012 files.
Presidential candidates' materials are saved in a separate box, filed in alphabetical order.
Congressional and gubernatorial candidates are filed together, in one hanging folder per state. One file folder should be dedicated to gubernatorial candidates (alphabetized) other folders should be made for each congressional district (and alphabetized within a district). Label all file folders according to the state, office, and district.
State legislative candidates are to be arranged by state (in alphabetical order) in alpha order (regardless of office level State House or State Senate).++
