@@=====**Updating Current Officials (Federal and State Offices Only)**=====@@
----

**Contact Info Check:**
Occasionally, we will also do checks of each official's contact information. If their contact information is out of date, use the following guidelines to make appropriate changes in [[http://admin.votesmart.org Admin]]:

Search for the official by last name and state or by current office. Go to the addresses tab of the individual's page. Be sure to select the appropriate office, and not the campaign address. Using the official's website, add all addresses and web addresses using the following guidelines:

[[State State Legislators' Address Types]]
[[Cong Congressional Address Types]]
[[Statewide Statewide Officials Address Types]]
[[New Entering New Addresses]]
[[Zip City, State & Zip]]
[[Phone Phone & Fax Numbers]]
[[Email E-Mail & Web Addresses]]

**Bio Check:**
Occasionally, we will also do updates of each official's bio. If so, follow the [[BioGuide Biographical Information Guidelines]].

**Leadership Position Updates:**
Typically after an election, we will do updates of each state's legislative leadership positions. Go to each state legislature's website and check each chamber's leadership. Update our database as needed. Sometimes you can find this information on the party caucus websites as well. **Make sure both houses are accounted for, for each state.**
~-Before making changes, look at [[IndividualsLeadershipPositions Leadership Positions]] for how to change an individual's leadership positions

**Committee Checks:**
When taking someone out of office make sure to transfer committee experiences to their biography tab under 'Caucus.' When putting someone into office, check the state legislature's site for their assigned committee experiences. Sometimes it takes a few months after a person has been sworn in for them to be assigned committees. If this is the case, make a note of it and check back later.
~-Follow the [[http://wiki.votesmart.org/Committees Committee Updates]] steps when making these changes.

**Photo Checks:**
When doing a bio check or a contact information check, it is usually convenient to throw a photo check into the mix. When doing these, check to make sure we have a recent photo of politicias uploaded to our website. Follow the [[http://wiki.votesmart.org/Photos Photo Updates]] steps on how to do these checks.

==**Presidential/Cabinet:**==
Presidential officials and candidates receive special treatment because of both the attention they receive and the fact that it is easier to do more frequent updates for groups of fewer offices.
__Biographical Checks:__
- **President/Cabinet:** A full update of contact information and new bio info occurs once a year.
- **Candidates:** Presidential candidates should be thoroughly researched at least two times before primaries start and two more times between the primaries and the general election.
__Contact Information Checks:__ Occur every 3 months.
__Office Information:__ Once sworn in.

==**Congressional:**==
Congressional officials and candidates are the second highest priority, right after Presidential/Cabinet. Whenever there is a vacancy or a is vacancy filled, alert Speeches so that the head of speeches can update the speech collecting tracking sheets.
__Biographical Check:__
- **Officials:** A full update of information occurs once a year.
- **Candidates:** All candidates should be checked twice before the primary and once between the primaries and the general election.

==**Federal Judicial:**==
Federal Judicial covers any federal judge, including the Supreme Court, US District Courts, and the US Court of Appeals. Federal-wise, this is the data that gets the least amount of attention. This is also the level at which people are constantly being nominated and confirmed.
__Biographical:Checks:__
- **Officials:** Occurs once a year. A good place to look for some bio information of the judge is on the [[http://www.fjc.gov/ Federal Judicial Center]] website.
- **Nominations:** When you find a nomination, you put it in the [[https://docs.google.com/spreadsheets/d/1qVSnPdnSNqNvT9MBj9QA2VRA3UHIAbKVMTpb9lC1eiI/edit?usp=drive_web&ouid=100180762879341317058 Carroll Tracking Sheet]] under Federal Judicial. Since it is not guaranteed that a nominated person will actually be confirmed/Appointed, do not create a profile for them in admin until they ARE confirmed/appointed. Once they are confirmed/appointed, add them to admin if they don't already exist and do a full profiles check for them. Once you have done all this, remove them from the doc. This doc should be updated once a month.
- From here, you have up to 3 entries to put in Professional Experience:
