Checking Imports

  1. Verify that the address information on the Excel has been imported properly. The best way to check this is to verify the addresses' accuracy and formatting of a newly-elected official who would not have had an address before. Check a few others just to make sure the admin IDs have been matched up properly. If it does not appear to have imported correctly, contact your supervisor and do not move forward with checks.
  2. Check to see what information on the officials' roster and the officials' individual websites are missing from the excel document. Most often this be website addresses, email addresses, or district addresses. As you go through to check each official, you will have to add this information manually. Be extra careful when adding new information, as this might not get checked again for awhile.
  3. Go through the official roster website and/or individual pages to check the addresses of each official. You will NOT be checking admin with the excel- we always want to go back to the original source. For the information that was imported with the excel, you will only want to give a cursory once-over of the address just to make sure we attached the address to the proper person. Add any missing information and correct any formatting. Occasionally, an extra address or web address will show up in admin that is not present on the official's website. If it is an extra district address, we can assume that they have since closed down that district office and you can delete it. If it is the only district address and for whatever reason they do not list it on the official's website, you should just leave it as is. Extra (old) capitol addresses can be deleted, but be sure you are deleting the proper one. Web addresses can generally be left as is unless they are clearly outdated. These rules can vary based upon that state's particular situation, so check with your supervisor if you are unsure.
