It's best practice to update the sheet on a weekly basis.
Once a month, send the donors whose donations failed a generic email about the situation. The email itself can be found in /Membership/Letters/Common Responses/Unable to Process Donation/Recurring Online Donation. Their email address can be found in their DonorPerfect profile - if they have multiple emails on file, go with the one that immediately pops up on their profile.
If they call in to update their information, add a contact note to their DonorPerfect profile - make sure to include the date they called.
Occasionally, these emails will bounce. If that happens, mail them a physical copy of the letter as soon as possible. The letter is found in the same folder as the email. Add a contact note to their profile saying that the email bounced and a physical mailing was sent out.

You can search for transactions in CyberSource. Most often, you'll want to search for people by their last name. To do so, you will follow this process:
1) In the sidebar, select Transaction Search > General Search
2) Set the Date Range to "Last Six Months"
3) Under Options, select the "Search for a field and a value" radio button.
4) Set the field dropdown to Last Name.
5) Enter the entire last name. Unlike DonorPerfect, CyberSource requires the last name to be an exact match. So if you're looking for Ms. Smithenbabcock, and you enter "Smith" in the last name field, it will not return Smithenbabcock.
6) Click search.
Only the last six months of transactions are searchable in CS. For anything older than that, you will have to look through archived reports.

===Downloading a CyberSource Report===
Each morning we must pull the report detailing all of the credit card transactions from the day before.
(Note that we are always one day behind on Cybersource data entry, i.e. You will pull Monday’s report on Tuesday and Tuesday’s report on Wednesday).

===Cleaning a CyberSource Report:===
If cleaning the report through Euirim's program (found here: \\POPROCKS\membership\Accounting\Cybersource Reports)
1. Open the program "cs_reports.exe"
2. The program will automatically open up the file explorer (do not touch the program before it opens the file explorer)
3. Find the csv you downloaded from Cybersource and again, do not touch the program.
5. The program will close by itself
6. Go to your documents and find the date of the report you are cleaning within the "Processed CS Reports" folder
If you are cleaning the report manually
1) Do not save the file after making any edits in this process, as we will have the physical copy of the edited version. We only want a digital record of the raw file since it contains more information than the physical document.
2) Change the name of the tab to the day of the report.
3) Delete all columns, except for the following:

7) Resize all columns. Press ctrl-a, and then double click on the boundary between two rows.
8) Set the page's orientation to landscape. Go to Format > Page and select the Landscape radio button.
9) Print to a printer of your choice. If the report won't fit on one page, feel free to mess around with font size to make it fit.
===Entering the CyberSource Report===
The source column (Src) describes the donations origin.
-- Rec: Reccuring donations. Enter these into DonorPerfect. These donations should have the solicitation code "Reccurring Web Donation 20XX", appropriate to the year of the donation. The TY code is typically DT, but not always. For a monthly donation, yes, it ​should be DT. But if it's a donation that occurs less often, say once annually, then the donor should receive a thank you as normal.
-- Web: Web donations. These are online donations that users have entered themselves. These should be entered into DonorPerfect with the TY code of either Web16 ​(donation by a member via web), WebN16​ (donation by a new member via web), or API Subscription 2016,​ as appropriate and given a thank you as normal.​ If it is a new member with the source, be sure to check Django Admin to see if this person is an API subscriber​. If they are, the only flag they receive at this time is API.​​
-- Tmnl: Terminal. These are donations that were entered by a staff member in CyberSource's virtual terminal. These should already have been entered into DonorPerfect.
-- UBC: Edits within Cybersource done by a staff member. Should not be listed as a gift in DonorPerfect.
The Decision column (D) describes whether the donation was processed successfully. An "A" means accept, and the donation should be entered into DonorPerfect. An "r" means reject. The donation should not be entered in DonorPerfect; the user should have received a notification upon trying to donate that the transaction did not go through UNLESS it is a recurring donation. If the rejected payment is for a recurring donation, contact the member, inform them that their card did not process, and offer to update their payment information. If we don't contact them, they may never notice a change in their credit card bill, and we may never receive another donation from that person.
Any transaction with a negative amount represents a credit. Typically, it's a user who contributed in error and who wants their money back.​ Go in to DonorPerfect and remove the donation. Make a contact note of this error.
You may notice that a donor might appear twice on two consecutive days with two contributions of the same amount. The first donation will have a Web source, the second Rec.
The first transaction is a confirmation that we will be able to run their card on a recurring basis; no money is transferred here. The second transaction is the actual first payment. Enter the initial transaction into DP; mark the second day's transaction with "New Recc" on the report.
For new members, mark "New" next to their entry on the report. For API users, mark "API." Always ensure that entries without a prior record in DP are not API subscribers before entering them as new members.

- **New Member via web 20XX:** a web donation given by a non-member. They should receive the “new member via the web” solicitation code, and the 08 new member TY letter.
- **API Subscription 20XX**:​ Look at Merchant Defined Data field 2: If the term “LIVE” is in the field, then the person has a live API key via the online API Registration system. This is due to an error in our system where when a user signs themselves up for reccuring donations, and for some reason we end up charging their card twice. IT has been made aware of this, but if you're reading this and it's still a problem, it might not hurt to offer a friendly reminder. As soon as you catch this issue, credit one of the transactions. Occasionally, someone will still call about this
issue. They'll be there on the other end of the line, looking at their credit card statement, asking why their card has been charged three times. Politely inquire whether one of the charges was a credit to their account, rather then a debit.

===Downloading a CyberSource Report===
~1) On the CS sidebar, Reports > Report Search
~1) Under the Daily Report Search header, select the desired date in the dropdown menus and click 'Submit'

===Cleaning a CyberSource Report:===

1) Delete all columns, except for the following:

-- Source
-- billTo_firstName
-- billTo_lastName
-- billTo_street1
-- billTo_street2 (If this is empty, delete it. If it's not empty, figure out if the people with data in this field are existing members -- if they are, delete it)
-- billTo_city

-- billTo_state
-- billTo_postalCode

-- card_cardType
-- decision
-- paymentData_orderAmount

2) Perform the following find/replace functions:

"SCMP API" > "Recc"
"Secure Acceptance Web/Mobile" > "Web"
"UBC Virtual Terminal" > "Tmnl"
"billTo_" > "" (i.e., leave the replace field blank)
"Visa" > "VS"
"Discover" > "DI"
"American Express" > "AX"
"MasterCard" > "MC"
"accept" > "A"
"reject" > "r"

3) Retitle columns in the following way:

source > Src
State > St
postalCode > Zip
card_cardType > Crd
decision > D
paymentData_orderAmount > $

4) If any zip codes have been entered as Zip+4, delete the +4.

5) Resize all columns. Press ctrl-a, and then double click on the boundary between two rows.

6) Set the page's orientation to landscape. Go to Format > Page and select the Landscape radio button.

7) Change the sheet name to the day of the report. Double click at the bottom of the window where it says "Sheet1", and replace the text with the day of the report in the format mm.dd.yyyy (e.g., "05.17.2015")

8) Print to a printer of your choice. If the report won't fit on one page, feel free to mess around with font size to make it fit.


Entering the CyberSource Report:

The source column (Src) describes the donations origin.

-- Rec: Reccuring donations. Enter these into DonorPerfect. These donations should have the solicitation code "Reccurring Donation 20XX", appropriate to the year of the donation. The TY code is typically DT, but not always. For a monthly donation, yes, it ​should be DT. But if it's a donation that occurs less often, say once annually, then the donor should receive a thank you as normal. Most reccurring donations already have a pledge set up in DP, which speeds this process.
-- Web: Web donations. These are online donations that users have entered themselves. These should be entered into DonorPerfect with the TY code of either Web15 ​(donation by a member via web) ​or WebN15​ (donation by a new member via web)​ as appropriate and given a thank you as normal.​ If it is a new member via web, be sure to check Django Admin to see if this person is an API subscriber​. If they are, the only flag they receive at this time is API.​​
-- Tmnl: Terminal. These are donations that were entered by a staff member in CyberSource's virtual terminal. These should already have been entered into DonorPerfect.

The Decision column (D) describes whether the donation was processed successfully. An "A" means accept, and the donation should be entered into DonorPerfect. An "r" means reject. The donation should not be entered in DonorPerfect.​ The user should have received a notification upon trying to donate that the transaction did not go through.​

Any transaction with a negative amount represents a credit. Typically, it's a user who contributed in error and who wants their money back.​ Go in to DonorPerfect and remove the donation. Make a contact note of this error.

You may notice that a donor might appear twice on two consecutive days with two contributions of the same amount. The first donation will have a Web source, the second Rec.

This is due to an error in our system where when a user signs themselves up for reccuring donations, and for some reason we end up charging their card twice. IT has been made aware of this, but if you're reading this and it's still a problem, it might not hurt to offer a friendly reminder. As soon as you catch this issue, credit one of the transactions. Occasionally, someone will still call about this
issue. They'll be there on the other end of the line, looking at their credit card statement, asking why their card has been charged three times. Politely inquire whether one of the charges was a credit to their account, rather then a debit.

Searching for Transactions:

You can search for transactions in CyberSource. Most often, you'll want to search for people by their last name. To do so, you will follow this process:

1) In the sidebar, select Transaction Search > General Search

2) Set the Date Range to "Last Six Months"

3) Under Options, select the "Search for a field and a value" radio button.

4) Set the field dropdown to Last Name.

5) Enter the entire last name. Unlike DonorPerfect, CyberSource requires the last name to be an exact match. So if you're looking for Ms. Smithenbabcock, and you enter "Smith" in the last name field, it will not return Smithenbabcock.

6) Click search.

Only the last six months of transactions are searchable in CS. For anything older than that, you will have to look through daily or monthly reports.
