The following is the process for exporting contact records from DonorPerfect. This process will only export records of members.
**How to export DonorPerfect records for a bulk mailing: **
- Log into DonorPerfect, and go to reports → report center.
- Click on the easy reports folder on the left hand side
- Select “PVS_Membership_Files” - this has all of the info John Floyd needs.
- On the left hand side bar, set your selection filter
- You will need to run a query to pull the people that you want to mail. This is going to depend on the mailing and who RK wants us to mail
- A typical selection filter for a standard renewal mailing:
- DPFLAGS.FLAG = 'MEM' - this will pull everyone with the member flag.
- DP.LAST_CONTRIB_DATE BETWEEN 'XX/XX/20XX' AND 'XX/XX/20XX'- this will pull everyone who’s last gift was between that date range.
- On the left hand side bar, remove the checkmark next to “Do Not send Mail.” Per RK.
- Download the report as a CSV (this is the format that John Floyd needs the file in)
- Make sure to spot check the file to make sure that there aren’t people who shouldn’t be on it (API, RMV, DEC), etc.
