Collecting and organizing this information is the first and most important step in preparing for any regular and special elections. This is how you will build your calendar, prioritize work, and keep all of Vote Smart’s data as up to date as possible.
A good way to keep track of all of this information are the 50 States Report and the Status of the States, both of which can be found in the Elections Monitoring Unit folder in the Research drive. Status of the States documents are used to track regular elections that are happening that year. 50 States Report is used to track special elections and any appointments that are made in the executive, legislative, and judicial branches in all 50 states. You may change the exact formatting of the document to fit your needs, but all of that information should be included.

A good way to keep track of all of this information is the document QC Info Gathered, which can be found in the NPAT drive. The template has all of the information that you will need to collect for regular elections, including filing deadlines, certification dates, and result availability. =====Management of the Elections Monitoring Unit=====
The key to successful management of the Elections Monitoring Unit is being very organized and prepared. At all times you should aim to be ahead of schedule. Realistically, being ahead is dependent on the amount of people in the department at a given time. Otherwise, during crunchtime (starting about June or so up until December of a major election year), you will be overwhelmed, behind schedule, and working overtime.

As it gets closer to a major election year, states will begin to post their election calendars and other dates/deadlines. In general, these will be posted at the end of the previous, after any off year elections that may be happening, or at the beginning of the election year itself.
Collecting and organizing this information is the first and most important step in preparing for any regular elections. This is how you will build your calendar, prioritize work, and keep all of Vote Smart’s data as up to date as possible.
A good way to keep track of all of this information is the document QC Info Gathered, which can be found in the NPAT drive. The template has all of the information that you will need to collect for regular elections, including filing deadlines, certification dates, and result availability. You may change the exact formatting of the document to fit your needs, but all of that information should be included.
All of these dates should also be transferred to the PCT-Quality Control Google Calendar, so that all members of the PCT Department is able to easily see the dates, and make any changes that may be necessary. There is already an established color coding system, but you are able to develop your own system. However, it must be uniform and easy for other staff to follow. You may also find it helpful to make a paper calendar, but that is up to you.
These calendars are your road map for an entire election cycle, so be sure to take your time with setting this up, and make it 100% accurate. It should be noted that this is only for regular elections, any special elections that need to be covered have their own tracking.
You need to find out about any special elections or upcoming appointments, which are not always easy to find. Special elections are usually not covered extensively in major election years, but any special election at a level that we normally cover in an off year should be covered. Be sure to coordinate with the Research Department regarding these special elections, or any direct appointments that may need to be covered.

Once a General Election is wrapped up, it's time to get started on planning for the following year's elections. You will want to create a schedule for the year, and continue throughout the year to add elections as they come to your attention. It is important to keep abreast of happenings throughout the year, so in addition to your [[Dailies Daily]] reading, periodically check on the [[CollectingElectionDates Sources for Election Dates]]. The document in the PCT drive entitled "first/next/last" should give you a heads up on most of the regularly scheduled elections for the year. However, this might change with term length changes and the years near the Census might have extra or otherwise-modified elections due to redistricting. In addition, you need to find out about any special elections or upcoming appointments, which are not always easy to find. Though we do not cover Special State Legislature elections or any candidates for appointment, we need to have them on the calendar so we know to update office information. They also may clue you in on a Vacancy in office you were not aware of- in which case, you would want to [[RemovingSomeoneFromOffice remove that official from office]].
Create an Excel document of all this upcoming year's elections and appointments, as well as with filing deadlines for the elections we are covering. Be sure to include the following column headers: Date, State, Primary/General Stage, Offices/Districts up for election, Special Election?, Covering election?, and Distributing PCT?. See: "2009 elections" as an example. Once you add all known data, select all and sort by date. Auto Filters are useful for limiting the data to what you need. Add all relevant election dates to [[http://www.google.com/calendar Google Calendar]] with info on what needs to be done for that election. In another worksheet, put all yet-to-be-scheduled vacancy replacements and be sure to periodically review this.
