PCT Department Roles and Responsibilities
Standard Staffing:
1 Elections Research Director (year-round)
1 PCT Administrator (Only takes half of a staff's time in off years)
2 PCT Research Associates (Can be anyone on staff to work on the PCT Administration part time. In the past two cycles, we’ve had the Issue Positions associates working on PCT Administration since they’re the most directly involved anyway)
Key Responsibilities by Role:
Elections Director: Oversees all PCT operations, including:
- Create and maintain departmental calendars/approve all program calendars
- Monitor staff, intern, and supply needs, requests, and allocation of resources
- Review progress reports from staff and report progress to supervisors; ensure all benchmarks (from the standard calendars/tracking sheets) are met at the appropriate time
- Manage the research and writing of the Political Courage Tests
- Review and approve all Political Courage Tests
- Personally ensure each major Presidential candidates running for office are getting fairly tested with the PCT and appropriately contacted; ensure all states and offices are being appropriately contacted for each election
- Ensure the basic principles of the PCT program are being followed (see: http://wiki.votesmart.org/PCTAbout)
- Ensure candidate coverage is in line with this page: http://wiki.votesmart.org/PCTProcessesOverview and that all elections-related content is prioritized leading up to the election
- Check in on exception candidates and ensure they have all been treated appropriately as defined here: http://wiki.votesmart.org/ExceptionCandidates
- Ensure submitted PCTs and bios and candidate lists are being processed promptly
- Ensure, before elections, all elections and candidates are release and that all PCTs are released
- Communicate with PCT Advisors
- Review and submit for approval all template communications, including but not limited to: template press releases, Bulk Communication Templates, NPAT messages, website changes
- Ensure election results are processed promptly after the election and that eventually winners are advanced into office properly
- Coordinate with Research and Communications departments
- Represent Project Vote Smart with the media, as necessary
- Generate all Press Reports
- Release all PCTs
- Manage quick response team for candidate fights/research disputes
- Assist in the checking of candidate lists, Bios, and PCTs
- Oversee the supervision of interns and member volunteers
- Solve departmental problems (including issues with candidates)
- Lead the quick response team for candidate fights
- Create and maintain administrative calendar
- Organize and manage mail merges
- Oversee PCT communications
- Manage all incoming and outgoing communication with candidates (including emails, calls, faxes, candidate line coverage, and politicalcourage@ coverage)
- Process submitted Bios and PCTs (attaching) and oversee check process
- Train and supervise interns and member volunteers on administrative tasks
