PCT Releases, Press Reports, and News Release Announcements

Responsibilities Include:
1. Providing PCT forms to the Communications Department and candidates' PCTs on request
2. Running preliminary press reports, upon request of the Communications Department
3. Coordinating PCT release and announcement dates with the Communications Department
4. Running final press reports for PCT releases and announcements
5. Keeping the Communications Department up to date with any calendar changes, special circumstances
6. Providing Communications Department with data to send a national media letter to candidates who have not yet responded to the PCT
7. Providing Communications Department with stats for the National News Announcement

Releasing PCTs to the Web Site

Before releasing PCTs, press reports should be generated to verify that all Political Courage Tests have been accounted for, to save on the drive, and to provide the media department with this information to release to the public. Check off each name after they have verified we have their Political Courage Test in possession and that they've received the proper checks. Also, make sure there are no PCTs in our possession for that state that have a status other than passed (be sure to check the problem PCTs!). See: Common Issues and How to Resolve Them. Once the press report has been checked, a final press report should be run. The Director should run the final press report the day prior to the release date.

To release PCTs select the correct election stage and click on Live web under NPAT Release Status. Spot check the live site to make sure PCTs were released and the appropriate failure message was applied to the non-responding candidates.

To release PCTs and imported VoteEasy research to the VoteEasy app, click on "Data Viz" under NPAT Release Status. To update the PCT Scores (used to determine courage in VoteEasy), put in a request to IT via mantis

Creating Press Reports
To simply generate a press report in Admin:
1. Click on NPAT Press Report on the left-hand side of admin
2. Select the appropriate office level, state, stage, and then click generate press report
3. Print a copy and check off PCTs
4. To save the file, click save as, and save it under the press release folder, under draft or final, under the appropriate state and then label state abbreviation_electionstage_office_Press_Report_Draft OR Final_Date, example: AK_GE_Cong_Press_Report_Final_101308.pdf

National News Release Stats
IT runs the finals stats for the national press release and on election day, at the request of PCT. The director should update the stats for the various offices and save them in the media drive.

Final (Election Day) Stats
Press reports for every state and every stage should also be run again on election day and saved. These press reports will be used to generate the final election year statistics.
